Adding tasks by email using a dropbox address

You can now create tasks by email using a dropbox email address for the Tasks app in GroupCamp Project.  This so-called dropbox feature in Tasks works the same way as the dropbox email address in the Files application to archive emails in your projects.

By using your regular email software (Outlook, Gmail, Apple Mail, or from your smartphone) you can now add tasks in your GroupCamp projects. Why is this a big deal? Because for each project you can assign tasks with a simple forward from your inbox. Here are a few examples of how this feature may be useful.

  • Never forget to process an email. Save an email as a task.
  • Assign a task to a team member right away without leaving your inbox.
  • Set up your own to-do list from your inbox.
  • Save emails representing customer requests as follow-up tasks.

Of course you can also compose a message and add the task dropbox address in the Cc field for the following purposes:

  • Prepare a list of tasks for a team-member.
  • Cc the dropbox address in your Minutes of Meeting.
  • Save important project emails for future reference.

Customizing a dropbox email address for the Tasks app in every project
This is what happens when the Tasks dropbox address receives an email :

  • The subject of the email becomes the description of the task,
  • the body of the email is added as a comment on the task,
  • any attached files are added as files within the project (in the Files app) and linked to the task
  • the first person in the To: field is assigned to the task (if that person is a project member),
  • the other persons in the To: field and contacts added in the Cc field become followers of the task (if they are members of that project). This means that people in Cc will receive email notifications when the task is updated or completed.
  • the dropbox email address can be added in the Cc or Bcc field.

Export your tasks in Excel and get rich-text formatting in comments

Here are the latest features in GroupCamp Project:

  • Administrators and Managers can now export tasks in Excel format from the Tasks application in a project.
  • Comments now support HTML formatting. Your comments will now be in rich text formatting when you reply to an email notification from GroupCamp.
  • Project search field in the top menu bar.

Exporting tasks into an Excel file in your project

Administrators and Managers can now export their tasks directly from their project. By clicking on the link in the Tasks app as shown below the full set of data available in the Tasks app for a project will be generated as an Excel file and downloaded.

Please note that the Tasks export file is the same as the one generated when a project is exported.

Add tasks on your emails in Gmail for Google Apps (New GroupCamp Gmail Gadget)

We are happy to announce that the new Gmail contextual gadget for Google Apps from GroupCamp is out. The latest version will allow you to add follow-up tasks on emails with the following add-ons:
- your email body will keep its formatting
- the email and all its attached files will be linked to the task

Add tasks on emails in your Gmail inbox

You still have the ‘New task’ button in the gadget which allows a task to be created but without saving the email and its attached files in the project. The ‘New task’ button also did not allow the formatting of the email body to be preserved.

With the new Save email button, you can now archive the email into a project then add a follow-up task on that email.
Once you click on the Save email button, the list of projects will be displayed. Choose the project in which to save your email. Please refer to the blog entry on the save email feature in GroupCamp’s Gmail gadget.

Save emails from your Gmail inbox in your online projects

GroupCamp’s new Gmail contextual gadget for Google Apps accounts is out. This latest version of the Gmail gadget allows you to easily share an email within your project or archive the content of the email without leaving your Gmail interface.

For GroupCamp users not using Gmail for Google Apps please note that you can still forward emails to an email dropbox address for your project.
As shown in the image below, you now have a new ‘Save email’ button in the Gmail contextual gadget.
